You do not need every ingredient in every line, and you should never add a number you cannot defend. The goal is simpler: replace the job description with evidence of how you performed the job.

The formula, without the acronym soup

Build the line in this order:

  1. Name the change or finished action. Start with what you built, improved, resolved, delivered, analyzed, taught, sold, or maintained. "Responsible for" only names an assignment.
  2. Add the object. Which system, patient flow, account book, classroom, route, close process, or customer problem did the action affect?
  3. Show the boundary. Add a result when you have one. Otherwise add honest scale, frequency, quality, speed, complexity, or a constraint you worked within.
  4. Name the mechanism. "By" and "through" are useful prompts: what decision, method, or tool explains the change?
  5. Cut the scaffolding. Remove "successfully," "helped to," "responsible for," and any adjective the evidence already proves.

A finished bullet might read: "Cut invoice exceptions 31% across 5 cost centers by adding a weekly pre-close review." The action is cut, the work is invoice exceptions, the proof is 31% across 5 cost centers, and the method is the pre-close review. It gives an interviewer several useful questions to ask.

Where honest numbers come from

Do not begin by hunting for an impressive percentage. Reconstruct the boundaries of the work you actually did:

  • Volume: customers per shift, tickets per day, accounts, assets, invoices, students, or routes.
  • Frequency: daily, weekly, monthly, quarterly, or across several releases or seasons.
  • Speed: turnaround, response time, close day, build time, wait time, or delivery against a written deadline.
  • Quality: accuracy, audit findings, rework, first-visit completion, defects, or adherence to a documented standard.
  • Scope: team size, budget, territory, locations, services, projects, product areas, or stakeholder groups.
  • Change: a defensible before and after measured the same way.

When the result belongs to a team

Keep the outcome, but scale the ownership language to your part. Use "led" only when you set direction or were accountable for delivery. Use "built," "analyzed," "coordinated," or "implemented" for the part you personally owned. "Contributed to" can be accurate, but it becomes useful only when the sentence names the contribution: "Built the validation layer for a 6-person launch that cut duplicate records 24%."

Team outcomes are not off-limits. They just need an ownership clause. The test is whether your answer to "Which part was yours?" matches the verb on the page.

When you genuinely have no outcome number

Use a completion standard or constraint instead. "Delivered board materials 48 hours before 10 quarterly meetings" is useful without a percentage. So is "Wired 14 residential renovations with zero failed inspections." The evidence is reliability at a stated scale.

If even scale is unavailable, make the method concrete: what problem did you diagnose, what decision did you make, and what changed in the workflow? A precise mechanism is still better than a decorative action verb. The five-pass rewrite

  1. Underline every line that only describes a duty.
  2. Write the work object and your actual action in plain language.
  3. Add one defensible boundary: result, scale, frequency, speed, quality, or constraint.
  4. Add the mechanism when it explains judgment or expertise.
  5. Read the line against the target posting and keep only truthful, relevant terms.

That last pass is tailoring, not keyword decoration. Use the employer's language where it accurately describes your work, then prove the term inside the bullet. Final quality check

  • The verb matches what you personally owned.
  • The line names a specific piece of work, not a category of duties.
  • At least one useful boundary is visible.
  • Every figure is exact, ranged, or honestly qualified.
  • The mechanism explains how the result happened when that detail matters.
  • No private customer, patient, student, or security detail is exposed.
  • You can explain the source and context of every claim in an interview.
